How does the AI receptionist actually work?

On Pro and Growth, Aaptly attaches an AI receptionist to your existing phone number (or a new number we provision). Inbound calls are answered by a voice agent that checks live availability, collects the deposit via SMS payment link when the service requires it, and writes the booking to your calendar. Calls outside its configured policies are escalated to a human and the full transcript lands in your inbox.

What does the AI not handle?

Anything outside the services, hours, staff, payment rules, and FAQs you've configured. The AI does not improvise medical, legal, or pricing decisions that weren't set up — it captures the request and routes it to a human instead.

How long does setup take?

Essentials (booking + payments only) can be live the same day. Pro and Growth take more care because the AI receptionist needs your services, hours, staff, payment rules, and escalation policies configured correctly before it starts taking real calls. Most shops are live within a week.

Can I switch plans or cancel anytime?

Yes. Monthly plans are month-to-month — cancel any time and your account drops to Free (draft mode). Annual plans get the discount in exchange for a 12-month commitment. Your data is exportable as CSV at any time.

Do you take a cut of my bookings?

No. You pay a fixed monthly subscription. Standard Stripe fees (2.9% + 30¢) apply to card payments and go directly to Stripe — Aaptly takes no markup or per-booking commission.

Can I bring my own phone number and domain?

Yes. We forward your existing number into the AI receptionist (or you can use a new number we provision), and you point your own domain at your booking page from Settings.

Is my data safe? Is intake HIPAA-aware?

Data is encrypted at rest and in transit. Our intake and consent flows support HIPAA-aware patterns — e-signed waivers, encrypted medical-history storage, and per-record audit logs — but operating in compliance with HIPAA also requires a signed Business Associate Agreement and the right operational policies on your side. Contact us before going live with covered services.

What happens to my data if I cancel?

You own your data. Export clients, appointments, payments, and messages as CSV at any time. After cancellation we retain your records for 90 days (in case you change your mind), then permanently delete them on request.
